Volunteering at an event: Terms and conditions

Please read the following Terms & Conditions carefully before applying to volunteer.

Thank you for volunteering with Place2Be (a registered charity in England and Wales {1040756}, Scotland {SC038649}). These Terms & Conditions apply to all fundraising event volunteering activities and by completing the Volunteer Application Form you are agreeing to comply with them.

Volunteering activities

  1. Volunteering with Place2Be at our fundraising events can involve, for example, cheering or greeting, taking photographs, collecting donations and generally assisting at events, amongst other activities.
  2. You agree to volunteer entirely at your own risk and Place2Be shall not be liable for any injury, damage or loss (including without limitation, indirect or consequential loss or damage) which you may suffer or incur as a result of your volunteering at our fundraising events, unless such injury or loss is incurred as a result of Place2Be’s direct negligence.
  3. Place2Be takes all reasonable steps to minimise the risk of injury to volunteers at fundraising events and these are in addition to steps carried out by any external event organisers. There is a stringent risk assessment process in place for each event. However, by volunteering at fundraising events you acknowledge that there may be conditions or circumstances which are beyond Place2Be’s control and which can lead to unforeseen risks. If you have any concerns or queries please contact Place2Be Events Team on events@place2be.org.uk before applying to volunteer at our fundraising events.
  4. Fundraising events may be organised by external event organisers, or by the Place2Be Fundraising Team. External event organisers may have their own terms and conditions which you will need to abide by.
  5. Place2Be expects you to abide by the rules, instructions and regulations provided by Place2Be’s staff and contracted agencies, officials and police. These are in addition to those given by any external event organisers which you should also follow.
  6. Volunteer roles at fundraising events can involve standing for long periods of time in a variety of different weather conditions. If you are unsure of your physical ability to take part, you are asked to take medical advice from your doctor prior to volunteering at any events. It is your responsibility to ensure you are medically fit to volunteer.
  7. If, after applying to volunteer, you find you are unable to volunteer, please notify the Place2Be Events Team as soon as possible by emailing events@place2be.org.uk
  8. By volunteering, you confirm that you are happy for your name and any footage or photographs taken during volunteering at fundraising events to be used to publicise Place2Be’s work, including televised broadcasts. Any photographs or video footage you share with Place2Be may be used on our website, social media, and/or used in marketing materials – this may include photographs or footage of your friends and family should you share these with us.
  9. Place2Be will provide some refreshments for volunteers at fundraising events. If you have any particular dietary requirements, please let the Events Team know in advance.
  10. Place2Be will reimburse reasonable travel expenses incurred as a result of your volunteering. For clarity, reasonable travel expenses means public transport within the local area that the fundraising event takes place (for London based events, this would include travel between zones one and six). For confirmation of costs covered at specific fundraising events, please contact the Place2Be Events Team on events@place2be.org.uk
  11. While volunteering, you understand that you are representing Place2Be and that you will not do anything that threatens Place2Be’s reputation or name. If you do, Place2Be has the right to ask you to stop volunteering immediately.

Cash Handling

  1. When volunteering at fundraising events, you may be required to collect cash donations from event attendees. It’s important to follow our guidance when handling cash to ensure your own safety and to protect the money raised. You will be provided with a copy of our cash handling guidance prior to your volunteering shift.
  2. At events, there should always be two volunteers present when collecting donations or payments. Place2Be will always roster cash handling volunteers in pairs and you should take care to stay together when handling cash.
  3. You should never leave cash unattended at fundraising events and must return all cash to a member of the Place2Be Fundraising Team either when requested or at the end of your volunteering shift.
  4. Your safety is our primary concern. If you are ever in the unfortunate position of being challenged whilst handling cash, we ask that you hand over the cash without resisting and report any theft to Place2Be staff as soon as possible.

Use of Personal Data and Consent

  1. By providing your personal information when you sign up to volunteer for Place2Be, you understand that Place2Be will contact you via phone, email and any other legitimate means in order to communicate relevant event information throughout, in the lead up to and post your participation in fundraising events.
  2. Your personal information may also be used for the purposes of sending communications to you where you have confirmed that you would like to receive further information about the charity’s work when signing up to fundraise for Place2Be.
  3. All personal data held by us will be handled in accordance with our Privacy Policy.

Terms and conditions

  1. We may revise and update these Terms and Conditions from time to time in our sole discretion. All changes are effective immediately when we post them. Your continued involvement with Place2Be following the posting of revised Terms means that you accept and agree to the changes. You are expected to check this page from time to time so you are aware of any changes, as they are binding on you.
